  • If you participate in a survey facilitated by us, your responses and limited technical data such as your IP address may be collected through Google Forms, as described below.

  • When you engage us for services or participate in any initiatives we run.

  • When you complete surveys hosted via Google Forms on our behalf.

If you participate in a survey we facilitate for a client, we use your responses only for the survey purpose and to provide aggregated, non‑identifying demographic results to the client; we do not keep or use any personally identifiable information from survey respondents beyond the purpose of the survey.

 

5. How we handle survey data and personal details

When we facilitate surveys for a client using Google Forms, our practice is as follows:

  • We only collect and retain non‑identifying demographic information from survey respondents (for example, age ranges, gender categories, or other broad groupings).

  • We do not keep or use any personally identifying information obtained from survey respondents beyond the purpose of the survey itself.

  • We do not store or otherwise retain any names, email addresses, or other individually identifiable details after the survey period is complete, unless you have explicitly consented to that storage for a separate, clearly explained purpose.

  • IP address and technical logging

    • Survey responses are collected via Google Forms, which may log your IP address for technical and security purposes.

    • Google controls how IP‑address data is stored, retained, and anonymised through its own systems; full details are set out in Google’s Privacy Policy and Retention Policy.

    • Within our own systems, we do not review or store IP addresses for purposes beyond administering the survey or ensuring data integrity.

  • After the survey closes, we will either delete or securely dispose of any personally identifiable information we held from the survey, in accordance with the APPs and client‑agreed data‑management arrangements.

 

6. Disclosure of your information

We may disclose your information to:

  • Service providers who assist us (for example, IT and website‑hosting providers), who are required to comply with appropriate confidentiality and security obligations.

  • Clients, only in the form of aggregated, non‑identifiable survey results, where you have participated in a survey we facilitate for them.

  • Regulatory bodies or authorities, where required by law.

If any of your personal information is disclosed overseas (for example, via cloud‑based platforms such as Google Forms), we take reasonable steps to ensure that your information is protected in a manner consistent with the APPs.

 

7. Storage, security and retention

We store your information only for as long as necessary to fulfill the purposes set out in this policy, or as required by law.

We take reasonable steps to protect your information from misuse, interference, loss, and unauthorised access, modification or disclosure, including via:

  • Secure website infrastructure and access controls.

  • Restricting access to information to authorised staff and service providers.

Survey‑response data is retained only for the period agreed with the survey‑conducting client and then either deleted or anonymised in line with our privacy obligations.

 

8. Your rights: access and correction

Under the APPs, you generally have the right to:

  • Request access to the personal information we hold about you.

  • Request correction of any inaccurate or out‑of‑date information.

To exercise these rights, please contact us at the details above. We may ask you to verify your identity before responding to such requests, and may decline a request where an exception under the APPs applies.

If you believe we have not handled your information in accordance with this policy or the APPs, please contact us using the details in section 1 so we can investigate and respond.

If you remain dissatisfied, you may make a complaint to the Office of the Australian Information Commissioner (OAIC), as set out on the OAIC website.

We may update this Privacy Policy from time to time to reflect changes in our practices or in applicable law. Any changes will be posted on our website with the “Last updated” date revised.
